Atlantic WFM Scenario Calculator – a user guide

The Atlantic WFM Scenario Calculator is a simple workforce planning tool that estimates required staffing in Full Time Equivalent (FTE), both at a net and gross level, plus total annual salary cost, for two scenarios:

As Is – your current operation
Proposed – a future or alternative scenario

This lets you quickly see the staffing and cost impact of operational changes such as automation, process redesign, occupancy changes or handling time improvements.

This is a simple generic calculator for illustrative purposes. If you need something more complex that is finely tuned for your operation, please contact us.

Input definitions

Typical weekly inbound volume
This is the total number of customer contacts arriving in a typical week. Higher volume increases required staffing. Enter this weekly value within this box.

Average handling time (seconds)
This is the average time an advisor spends completing a contact, combining talk + hold + aftercall work into a single process time. Longer handling times increase workload and staffing needs. For example, 5 minutes 42 seconds = 342 seconds. Enter the value in seconds.

Occupancy (%)
This is the percentage of the colleagues’ productive time spent actively handling contacts. This excludes the amount of colleague time waiting for work. Higher occupancy means advisors are busier within their productive time. If your occupancy is 92%, then enter the number 92 in the box.

Weekly hours in 1 FTE
This is the average weekly contracted hours for one full-time employee. For a standard 35-hour contract, enter the number 35.

Shrinkage (%)
This is the percentage of contracted time that is productive time, due to absences from work (eg holidays, sickness, family and bereavement leave), and also within-day absences (coaching, training, breaks and meetings. Higher shrinkage requires more staffing to cover lost time. If shrinkage is 30%, then enter the number 30 in the box.

Fully loaded annual salary cost (£)
This is the total cost per advisor including salary, benefits, taxes and overheads (if included in your model). For example, for a fully loaded salary cost of £29,000 then enter 29000 in the input box.

For any scenario that has the full six values, the app calculates net FTE requirement, gross FTE requirement and annual salary cost. If both scenarios are completed, it also shows absolute difference and percentage change. Green values indicate a reduction; red indicates an increase.

Understanding the outputs

There are three results cards:
1. Net FTE
Advisors required assuming no shrinkage.

2. Gross FTE
Actual staffing needed after shrinkage adjustment. This is your real Full Time Equivalent resource requirement given the inputs you have entered.

3. Annual salary cost
Estimated total advisor cost for each scenario.
